1. The short version

We collect your name, business name and email address so we can answer your enquiry and follow it up. We do not sell your details and we do not pass them to anyone for their own marketing.

We store them in our business systems and delete unconverted enquiries after 24 months. You can ask to see, correct or delete what we hold at any time by emailing Jacob.Roberts@botsandpieces.com.au.

That is the whole notice for a website enquiry. The rest of this page is the longer version, used when you become a client and are handing over more than an enquiry.

2. Who is collecting your information

3. What we are collecting

Your name and role, your business name, your email address and phone number, what you tell us about what you need, and the records we create while working with you.

During a project we may also handle account names, system logs and configuration details needed to build, test or support your system.

4. Why we need it

To answer your enquiry, quote for the work, enter into an agreement, deliver the services, invoice you, support what we have built, keep our systems and yours secure, and meet our tax, legal and insurance obligations.

5. What happens if you do not give it to us

We may not be able to answer your enquiry, quote accurately, or deliver or support the service.

6. Who we may pass it to

Our cloud, email, hosting, accounting and payment providers. Approved AI and software providers where the engagement needs them, which we name to you before we connect anything. Our professional advisers and insurers if we need advice or need to make a claim. Anybody we are required by law to tell.

We do not sell your information.

7. Whether it leaves Australia

Some of our providers store or process information outside Australia. Where that is material for your engagement, we will tell you before the work starts and record it in your engagement documents.

8. Artificial intelligence

We use AI services in our work. We will tell you which material AI providers will be used with your information and get your approval in writing before we connect it. We do not let your information be used to train a provider’s general model unless you expressly agree in writing.

9. How long we keep it

  • Enquiries that do not become work are deleted after 24 months.
  • Agreements are kept for at least 7 years after the engagement ends.
  • Tax records are kept for at least 5 years.
  • Working copies of your data are deleted within 30 days after acceptance unless the engagement or the law requires longer.

10. Your rights

You can ask to see what we hold, ask us to correct it, ask us to delete it, or complain about how we have handled it. Email Jacob.Roberts@botsandpieces.com.au.

We confirm receipt within 2 business days and aim to answer within 30 days. If you are not satisfied you can contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
